Governance

Societies are affiliated with the Students’ Union, and there are a few pieces of important information, policies and governance we follow to make sure we operate legally as a Students’ Union. All societies are expected to adhere to our overning documents and regulations we have set out.

Constitutions

When you start your roles you will be asked to review a constitution. These are the terms your society will operate by, what affiliations you intend to have, you’ll set your membership price and be able to confirm whether you’ll be accepting associate members or not.

All societies must complete their constitution to become affiliated. To review this your coordinator will invite you to a meeting (however you can ask for a refresher at any point in the year). They will take you through the complete constitution and it’s clauses.

You can view a template constitution here, it would be good to consider your values and aims ahead of meeting with your coordinator.

Annual General Meetings

As a committee you are expected to host an annual general meeting with your members shortly after your spring elections. In the AGM you should review how the year has gone, give members the opportunity to provide feedback and suggestions for next year, announce next year's committee, and review your constitution. All decisions and votes should take place democratically e.g. you may propose to change your membership fee; you need to have votes from your members to make the change. You should appoint a minute taker for your AGMS to record the meeting notes and any votes or questions. Where possible, invite your coordinator along and we can support you.

You should notify your members approximately 2 weeks in advance. You do not need to complete an activity request however we recommend you request a room so we can book for you to have as many members as possible attend.
